Terms and Conditions – APSTE

1. General Terms

1A. By registering for an APSTE event, participants agree to abide by these rules and regulations.

1B. APSTE reserves the right to modify the conference schedule, speakers, or venue without prior notice.

1C. APSTE is not responsible for any personal belongings lost during the event.

1D. Participants must adhere to the rules and regulations of the event venue.

2. Code of Conduct

2A. Participants are expected to engage in professional, ethical, and respectful interactions.

2B. Any form of harassment, discrimination, or inappropriate behavior will result in immediate removal without a refund.

2C. APSTE reserves the right to deny participation to any individual violating ethical guidelines.

3. Intellectual Property

3A. All materials presented during the event, including research papers, presentations, and recordings, remain the intellectual property of their respective authors.

3B. Unauthorized reproduction, distribution, or sale of event materials is strictly prohibited.

3C. APSTE may record sessions for promotional and educational purposes. Participants agree to this by attending.

4. Travel & Accommodation

4A. Participants are responsible for their own travel and accommodation arrangements.

Issuance of Invitation Letters

4B. APSTE does not provide travel assistance or handle visa applications.

4C. APSTE is not liable for any travel disruptions, delays, or cancellations.

5. Visa Support

5A. APSTE does not communicate with embassies or consulates for visa applications.

5B. Invitation letters are provided only to registered participants upon full payment.

5C. A visa denial does not qualify for a refund, but credit may be offered for future participation.

6. Registration & Transfers

6A. Registration is confirmed only after full payment is received.

6B. Fully paid registrations can be transferred to another individual from the same organization.

6C. A transfer request must be submitted at least 45 days before the event.

7. Privacy Policy

7A. Participant information is collected solely for event management purposes.

7B. APSTE does not share participant data with third parties without consent.

7C. By registering, participants agree to receive event-related communications.

8. Refund Policy

8A. Event Cancellation: If APSTE cancels an event, the full registration fee will be credited for a future conference within one year.

8B. Postponement Policy: If an event is postponed and the participant cannot attend on the new dates, the full registration fee will be credited for a future event.

8C. Refund Conditions:

  • Cancellations made more than 60 days before the conference: full refund minus a $100 cancellation fee.
  • Cancellations within 30–60 days: 50% refund.
  • Cancellations within 30 days: No refund.

8D. Virtual Participation Fees: Non-refundable.

8E. Refund Exceptions:

  • Once an official invitation letter is issued, no refund will be provided.
  • Non-attendance for personal reasons does not qualify for a refund, but credit may be given for future participation.
  • The above refund policies are applicable only if the registrant has not received the official invitation letter for participation in the event. If the client receives the conference invitation letter but cannot attend the conference, no refund will be provided.

8F. Cancellation Requests:

All cancellations or modifications must be requested in writing via email at [helpdesk@apste.net].
